Project Background

Vertical Engineering had been relying on an overseas SaaS CPQ system at significant and expense and time-investment, to get only a portion of the functionty they needed. The system was limited, error-prone, and required extensive manual intervention. Sales consultants often spent hours configuring quotes, and the lack of version control led to pricing inconsistencies betwen revisions, and entirely misquoted additions on customisations. Our goal was to build a modern, cloud-based CPQ system that would streamline the entire quote-to-order workflow while maintaining backward compatibility with existing product catalogs and pricing structures. The new system needed to support both internal sales teams and external distributors, each with different permission levels and pricing tiers.

Core Functionality

The CPQ system features an intuitive step-by-step configurator that guides users through the lift specification process. Starting with basic parameters like building height and usage type, the system progressively reveals relevant options while automatically filtering out incompatible configurations. Pricing calculations happen in real-time, considering base product costs, optional features, installation complexity, and regional factors. The pricing engine supports real-time currency conversion for generating proposals of imported lifts as well as domestic and can apply customer-specific discounts or contract rates. Every quote includes detailed line items based on the configuration made, making it easy for customers to understand exactly what they're purchasing. The proposal generation system creates detailed supply proposals in either Word or PDF formats branded with the customer's information, including technical specifications, compliance certifications, and warranty terms. Templates are fully dynamic, meaning Vertical Engineering is able to modify and update them without any intervention from us here at Itsy Bytesy.

User Management & Permissions

The system implements a sophisticated role-based access control system that distinguishes between organisations and permissions. Users have access to full product catalogs with the ability to apply special pricing and create custom configurations. Sales consultants can create quotes for their customers but only users granted 'modify-pricing' permissions can adjust base prices without. The approval workflow routes special requests to regional managers who can review and authorise exceptions. Sales partners have view-only access to their own quotes and orders, with the ability to track project progress and access historical data for reordering. All user actions are logged for audit purposes, creating complete traceability of pricing decisions and approvals.

Integration & Data Migration

One of the most challenging aspects was migrating decades of historical data from the legacy system. We built custom data transformation scripts that cleaned, validated, and imported over 4,000 historical quotes and customer records. The migration preserved all critical information while fixing data quality issues that had accumulated over years.
